This article walks you through how to manage your automated email notifications in ServiceReef — including how to turn specific notifications on or off and how to edit the default text (if your subscription level allows customization).

Turning Notifications On or Off
You can turn each automated email on or off at the Opportunity level only. Turning a notification off stops it from sending automatically to participants or admins.
This flexibility lets you tailor which messages best fit your communication style. For example, you might prefer to personally reach out to declined participants, so you can disable the “Participant Declined” notification.
To enable or disable an automated email:
- Open your Opportunity.
- Navigate to Communications > Automated Notifications (Opportunity level).
- Find the email you want to manage.
- Use the checkmark next to the email title to turn it On or Off.

Editing an Automated Notification
Most automated emails can be edited to reflect your organization’s tone or provide specific instructions for your participants.
Automated Notifications automatically adopt your organization’s site branding — including your logo, link color, and heading color — ensuring a consistent look across your communications.
Site Branding Settings: Update your logo, colors, and other branding elements at Org Settings > General > Site Branding. Changes made here automatically apply to all system and automated emails.
Important: Editing a message at the Organization level updates the default text shown at the Opportunity level for matching emails. If you make changes at the Opportunity level, those edits override the Organization default for that specific Opportunity only.
To edit a message, click the Edit button next to the email you want to customize.

You can update the default message text directly in the text editor. Use Data Values to include dynamic content that automatically personalizes each email for the recipient.
For example, typing
Hello {UserFirstName},
will display as
Hello Bill,
in the email Bill receives.
You can toggle through the different Data Value Categories to see what options are available.
Formatting Options in the Editor
The built-in text editor offers basic formatting options such as headings, bold, italic, underline, and bullet points. Font color, size, or advanced layout changes are not available directly in the editor.
Advanced Tip: Users comfortable with HTML can switch to the Source Code view to make additional styling adjustments. If you’re unfamiliar with HTML, we recommend leaving this as-is or contacting ServiceReef Support for guidance.
Finalizing Your Email Changes
Once you’ve finished your edits, click Save Changes.
We recommend sending a Test Email to yourself to confirm that everything looks and reads the way you intend.
If you ever want to return to the original default message, click the Revert to Original Message button.
Note: Not all notifications are editable. System-managed emails are locked to ensure consistency and accuracy. For details, see Non-Editable Emails ›.
Best Practices for Managing Notifications
- Review settings at both levels: Double-check Organization and Opportunity notifications to ensure they match your communication strategy.
- Keep participant experience in mind: Make sure key information (meeting times, payment details, trip reminders) is always covered — either by automation or a personal message.
- Customize where it adds value: Personalize follow-ups, confirmations, or weekly updates with your organization’s voice and mission tone.
