Managing Alumni (individuals you coach)

Guidance Pipeline

You will be guiding individuals through a Pipeline that looks much like a Trello environment (assuming you’ve seen that).  The vertical rows are called stages and each have a title.  Each individual has a card.  These cards can be moved from stage to stage. Each stage can have a series of tasks to complete.  These tasks are all managed in a Track.

Matching Reports (for people seeking coaching)

The automated Matching Report is generated on a number of factors including the individual’s assessment and numerous profile selections.  These reports display three major pieces of data:

  • Coach Matching - various recommended coaches (typically 4 suggestions).  Individuals can view coach profiles and select the option to connect with one of those coaches.  This matching is largely generated from the assessment.

  • Organization Matching - the technology will also recommend various organizations with a high number of commonalities.  This matching is largely generated from the assessment.

  • NOTE: the coach and organization recommended matches may not be the same.  For example, the individual may be recommended a coach from organization ABC because they have a lot in common, while they are matched to organization XYZ because the individual has a lot in common with that organization.

  • Opportunity Matching - the system will also recommend various opportunities for the individual.  This is largely generated on data from the individual’s profile.  Opportunities include short-term trips, internships, long term positions, etc.

Referring Alumni to Another Coach

This process would best be done by the alumni.  Each individual (alumni) can “end” their relationship with a current coach and request to be coached by someone else.  The current coach can recommend another coach to the individual for them to engage.

Referring Alumni to Another Partner Organization

A coach cannot refer an alumni to another partner organization.  ServiceReef will automatically make these recommendations based on profile criteria matches.

Manually Assign Individuals (alumni) to a Specific Coach

PNSN admins can manually assign/connect a specific individual and a specific coach.  This can be done in Mission Control > Members > View Details.

NOTE: Partner organizations in the PNSN cannot manually assign individuals to a coach - only the “parent organization” or the PNSN (admins) can do this.

If this is needed, contact a PNSN administrator for assistance.

Non-Responsive Alumni

Sometimes an individual/alumni may become inactive or non-responsive. The PNSN may have a specific protocol for this occurring.  If the individual is not responding to system generated communications then contacting individual with other means would be necessary (ex: email, phone call, etc.).

Reassign an Alumni (to another Coach)

An alumni can choose another coach for him/herself OR an organization admin can re-assign alumni to another coach within their organization.

NOTE: Only PNSN administrators can move an alumni from a coach in one organization to a coach in another organization.

Connecting Individual to an Organization

ServiceReef automatically connects a user to the organization the coach belongs to. Alumni are not “assigned” to an organization, this is only done when the alumni is assigned to a coach (through the matching report)

ServiceReef automatically adds that alumni to the organization's list of members. The alumni could also sign in to the organization’s white label (ex: OrganizationXYZ.servicereef.com) and it would add the alumni to that organization.
