Importing Participants

ServiceReef allows you to import participants directly into an Opportunity. This is helpful if you had individuals register outside of ServiceReef and you are wanting to bring them into the system.

Before you get started please read these helpful tips.

Data is only extracted from the first sheet (tab)

You'll need to review all of your data and map it to appear in the same fields as the example (see below for additional information)

If your document has errors, you will be alerted and given the opportunity to make corrections and upload a new file.

If an existing member is found with the same name and email, this user will be skipped.

If an existing Opportunity is found with the same name, ID, or date, participants will be added to the existing Opportunity. 

If the import succeeds, it will be added to the database and cannot be undone.


If you are unsure how to find the Opportunity ID, please see below:

The Opportunity ID is the number that appears on the Opportunity's dashboard in the URL. This Opportunity's ID is 14601"




To get started: First, go to Utilities on under your Organization Settings. Select Import Participants.

Next, select Download Sample Excel File.

Ensure that your file is formatted the same way.



After you have formatted your file, select Choose File to upload your file. 


You have the option to:


Invite new users to create an account (this will send them an invitation email to claim their account and set their password as a part of this import process) *This is recommended*


Select whether or not your file that you are uploading has a header row or not. Leave this checked if the file does contain a header row. If it does not, unselect this option.
