Moving Participant Donations & Payments-Admin Only

Created by Emilie Macke, Modified on Sat, 24 Feb at 1:51 PM by Emilie Macke

You may encounter a time when you need to manually move participant donations & payments. This most often occurs when a participant has enrolled in an "Open Enrollment" Opportunity and begins raising funds here, (what you may think of as your "gauge interest" opportunity) and then enrolls in a "Fixed Date" Opportunity.

What we recommend you doing to prevent confusion for the participant is to manually "Move User to Another Event". Review this article if you are unsure how to do this. We recommend you move the participant to the correct Opportunity as soon as it is created, if you do not move the participant and they apply for the "Fixed Date" Opportunity they will actually be participating you do have the ability to delete their application or remove them from the Opportunity (and then move them). *NOTE-this will delete any new information in that Opportunity that the participant has created (forms/if they've raised funds since applying/etc).

If a participant did not get moved and has began completing forms in the "Fixed Date" Opportunity you have ability to manually move funds that were raised in the "Open Enrollment" Opportunity.

In order to do this, you will want to go to your "Open Enrollment" Opportunity and find your Participants.

Locate the participants name on the left side and click "Actions".

"Select Donations & Payments"

You'll then have the option to Edit or Delete a payment that was manually entered already (Checks, Cash, Manual Credit Card Payments). If the payment was made via Credit Card online (through Stripe), you can Add a negative payment.

Select Manually enter Credit Card Processed offline

Enter the negative amount (ex. "-100")

Enter a Description-leave a note about what you've done, why you've done it, who did it, etc. Anything you may want to be reminded of in the future regarding the manual change you're making.

Record Payment at the bottom of the page.

Once the participant has a zero balance in the "Open Enrollment Opportunity" you can repeat the same steps above to manually enter a payment in the "Fixed Date" Opportunity for that participant.
