Building Sub-Trips

Sub-Trips are an efficient way to create a "Opportunities" within the same Opportunity. What does this mean? Let's look at an example!

Say your organization has a week long Opportunity in Uganda. With the Opportunity, you have three distinct groups attending that would like separate Opportunities - but essentially require all the same paperwork and needs on the backend. This would be a great time to use a "Sub-Trip". 


Sub-Trips are also helpful for organization who have groups that are paying as a whole group, rather than individuals fundraising on ServiceReef. 


To build a "Sub-Trip" you will want to begin with an Open Enrollment Opportunity. 




With an Open Enrollment Opportunity, you have the ability to assign participants to a specific "sub-trip" or they can apply and then be moved to a specific "sub-trip". 


First, you will want to build out the Opportunity as you would with any Opportunity - including your application, tasks, any additional forms, resources, etc. (Remember-within each sub-trip you can make additional edits or add additional tasks, forms, resources, etc.)


Next, after you have created your Opportunity, you will go to Teams, and Participants to build your Sub-Trip or move participants once you've built a sub-trip. If you already have participants who have applied, you can go ahead and place them into a "Sub-Trip" by selecting the participant (check the box next to their name) and the select Assign To Sub-Trip. 



Once you've selected a participant who has already applied, you can either - Create new sub trip or Assign to an existing sub-trip. You can give this a specific name that only this group of will see (Say a family's name, church's name, etc), basically something that when you are looking at your Sub-Trips you will know which is which.



After you have given your Sub-Trip a name and date it will appear under Sub-Trips. At this point, the "Sub-Trip" works as any other Fixed Date Opportunity. 



You also have the ability to Assign Participants to Sub-Trips. 

Going back to Team and then Participants you can either select a participant who has already applied and then Assign to Sub-Trip (one that has been created already or one that you will create at that time) or you can Add Participant (green button). If you Add Participant, you can add any member in your organization (continued below). 



You can search for users in your organization by selecting the dropdown under User. You also have the ability to have their status as Approved or Awaiting Approval. Lastly, you can choose whether or not a confirmation email goes out to them.
