Introduction to Aggregated Serving

What is Aggregated Serving?


Aggregated serving is a fancy way to say collecting a bunch of serving opportunities into one location from a bunch of organizations.  The magic of how it works here on ServiceReef is the automation and connected organization accounts.  Once the accounts are linked, Partner opportunities automatically flow into this aggregated list of opportunities (approval may be required).  

 

Why is this a Useful Tool?

This is a useful (and powerful) tool because it helps leading organizations bring together a fuller/richer volume of serving opportunities for their constituents that go beyond the walls of their church or organization.  Any organization or church that serves to collect serving opportunities and present them back to their main constituency could use this tool.

 

Terms to Know

  • Aggregated Serving - Collecting volunteer/serving opportunities from multiple locations and displaying in one central location.
  • Aggregate Leader - The organization constructing and leading the charge for aggregating opportunities.  
  • Partner Organization - Organizations linked to the Aggregate Leader who has their own volunteer opportunities but also allows them to flow into this aggregated list.
  • Participant (or End User) - Any person who serves in an opportunity of the Aggregate Leader and/or the Partner Organization.
  • Opportunity - any serving/volunteer opportunity for people to sign up and engage.  

 

How does it work?

It's rather simple... after a little setup, the technology does the heavy lifting.  Let's break it down into the major stages and then some simple sub-steps.

 

Stage 1 - Simple Setup

  1. Aggregate Leader invites organizations in as Partners
  2. Partner Organization accept the invitation (and create a ServiceReef account if not already created)

Stage 2 - Posting

  1. Partner Organizations post some or all of their volunteer opportunities into their ServiceReef account
  2. Opportunities automatically post to that Partner Organization's ServiceReef account AND into the Aggregate Leader's instance.  

Stage 3 - Participant Signup

  1. Participants engage with the Aggregate Leaders' ServiceReef instance
  2. Participants search through and signup for an opportunity
  3. Participants serve with the host organization 

Stage 4 - Reporting

  1. Participant keeps a record in their personal profile of their volunteer engagement
  2. Partner Organization keeps record and data all those who serve with their organization
  3. Aggregate Leader keeps a record of their direct constituents who serve with them and/or who serve with their Partner Organizations

What Controls do the Aggregate Leader have?

The Aggregate Leader can do the following:

  • Invite people to become a Partner Organization
  • Remove Partner Organization
  • Review and Remove specific opportunities 
  • View data and reports for who serves with Partner Organization (more below)

 

What Controls do the Partner Organizations have?

Partner Organizations can do the following:

  • Create their own ServiceReef account
  • Post opportunities to their ServiceReef account
  • Choose if their opportunity will post to the Aggregate Leader OR just to their organization's ServiceReef account
  • Remove opportunities 
  • Review and approve opportunity applicants/participants
  • Add and control account admins
  • Manage participant posted stories
  • Manage any related volunteer fees or fundraising
  • Branding of their ServiceReef account (site colors, logo, and subdomain name)

 

What Can the Aggregate Leader NOT do?

The Aggregate Leader does NOT have access to:

  • Application data or granular details of a participant's serving 
  • Any participants serving with Partner Organization who do not sign up through the Aggregate Leader website or app
  • Partner Organization internal reports
  • Partner Organization financial data

 

What Can the Partner Organization NOT do?

  • Control which opportunities the Aggregate Leader removes from their aggregated list
  • View cross-partnership reports and analytics

 

What's the experience like for the Aggregate Leader?

  • Simple management of account and Partner Organizations
  • Streamlined reports for Partner engagement and participant engagement

 

What's the experience like for the Partner Organization?

  • A simple tool for posting and managing volunteer opportunities
  • Easy resources to communicate well with participants
  • Tools to capture check-in and followup engagement

 

What's the experience like for the Participant?

  • Easy tools to search for and apply for a serving opportunity
  • Clear communication for engagement

 

What Data does the Aggregate Leader see from the Partner Organization?

The Aggregate Leader has access to the following:

  • Participant name and email with serving opportunity date and time (for ONLY individuals who sign up through the aggregated website or app).

The Aggregate Leader does NOT have access to:

  • Application data or granular details of a participant's serving 
  • Any participants serving with Partner Organization who do not sign up through the Aggregate Leader website or app
  • Partner Organization internal reports
  • Partner Organization financial data

 

What's are the expectations for the Aggregate Leader to deliver?

  • Front end work to set up the network of aggregated organizations / partnered organizations
  • Significantly promote the aggregated list of serving opportunities 
  • Set clear expectations with Partner Organizations
  • Study Partner Organization and Participant engagement 

 

What's are the expectations for the Partner Organizations to deliver?

  • Diligently post serving opportunities (using ServiceReef as their volunteer management system - VMS)
  • Help promote the aggregated list and campaign

 

What's are the expectations for the Participant to deliver?

  • Serve!
